Override Record

The Item Inspection Override record is generated from within an Item Inspection Record. The override record can be accessed in a number of ways:

  • From the Purchase Order Record Summary tab under the heading PO Item Overrides
  • From the Purchase Order Record Overrides tab under the heading Overrides
  • From the Item Inspection record Summary tab under the heading Item Inspection Overrides
  • From the Item Inspection record Overrides tab under the heading Item Inspection Overrides
  • From the Receiving & Inspection module under the tab Overrides.

1. Override Details

Enter Monitoring Program Details

1. No.: Each test that failed in the inspection record is numbered automatically.

2. Section: This column displays the name of the section in the inspection record where the test that was marked to be overridden was located. It populates automatically.

3. Subsection: The name of the sub-section in the inspection record where the test marked to be overridden was located. It will automatically populate.

4. Test Name: This is the name of the test in the inspection record marked to be overridden. It will populate automatically.

5. Event Notification: Notification connected to the test that failed appears here. Note: Currently not available.

6. Nonconformance Category: Select a non-conformance from your MasterData non-conformance categories to associate to the test that failed.

7. Quantity: The column populates automatically to display the quantity inspected for the test (sample size). If required, you can click into the fields to change the quantity.

8. Units: This column allows you to select the unit of measurement e.g., cases, boxes, pallet, etc. This is a mandatory field to complete.

9. Quantity Delivered: The quantity defined as having been delivered in the Item Inspection Record automatically populates here.

10. Override Quantity: The field allows you to define how much of the delivery will be overridden.

11. Percentage Quantity Override: The system will automatically calculate the percentage of the delivery which is to be overridden.

12. Report: Add comments/notes in this field.

13. Save: Click Save to save any updates or changes you make in the stage.

14. Save & Submit: Click Save & Submit when the stage is complete and need to move on.

2. Review and Approval

This stage will display the names of the people who are part of the internal approval workflow for overrides.

If required, you can use the 'Add Line' button to add additional people or groups to the approval workflow.

1. User: The name of the user who is part of the approval workflow populates here. Use the Add Line button to add additional people if required.

2. Status: The status of each user's approval will appear here i.e., if they haven't completed the approval the status will be Awaiting, if they choose to approve it will show Approved, or if they choose reject it will show Disapproved.

3. Date: This will automatically populate with the date the user completed the approval/disapproval.

4. Comments: This field automatically populates with the details on the approval decision made by each user. This can be edited if required.

5. Report: Add overall comments on the approval can be completed here.

6. Approve/Disapprove: When a user who is listed in the approval workflow accesses this stage of the record, they will see the approve and disapprove buttons. If a user chooses approve or disapprove they will be prompted to give a reason why they made the decision and it will appear in the comments field opposite their name.

7. Save: Once a user makes a decision on the approval they can click Save.

8. Save & Submit: The save and submit button will only appear once the user(s) make a decision. If all users are required to give a decision the button won't appear until the last person completes the approval decision. If there is a list of users but only one person's approval is needed, the button will appear straight away when they complete the approval.

3. Decision

1. Override Decision: Set a decision using the drop-down. A decision may appear by default if it was set to in the override template.

2. Report: Add any comments in the report field on the decision made.

3. Internal Distribution: The names of the people set in the override template who will be emailed about the decision on the override for the inspection will populate here automatically. If required additional users or group can be added using the Add Line button. Use the delete line button to remove a user from the internal communication if required.
