Add Purchase Order Status Model

The Purchase Order Status Model can be configured to enable what values appear within the Status drop-down menu of the Purchase Order Record. The model allows you to associate a Result to a Status and apply colour coding which will appear on the Status of a purchase order in the module tabs: PO's Today, Purchase Orders, and Receiving Location.

Only one purchase order status model can be setup for the Receiving and Inspection Module. When a user goes to add a new model, if there is an existing model it will populate automatically.

Conditional Rules can also be applied if applicable. When certain conditions are met on PO's and Inspection records, the status and result of the PO will update including on the POs Today grid. For example if a PO is assigned to a location the PO status and result could update automatically.

  1. Enter the name of the model you are creating.
  2. The type of model you are creating appears here by default as only one purchase order status model can be created per site.
  3. Choose an existing folder for the model to go into or create a new folder by clicking New Folder.

  1. Use the Add Line button to add as many lines as required to add the drop-down list of purchase order statuses e.g. Pending, Inspection Finished, Rejected, etc.
  2. For each purchase order status you list, you can associate an overall result. Choose from the Result drop-down list of Accepted, Rejected, No Result, Accepted with Failures, or Failure Override.
  3. For each status you list, you can use the + button to add extra result options for the status e.g. for the status Inspection Finished, the result options connected to it are Accepted, Accepted with Failure and Rejected. A status can be considered a Parent and the results considered Children, so therefore one parent can have multiple children associated to it. Note: The first result associated opposite the status will be the default result that populates when the status is selected. The same parent and child cannot be added multiple times.
  4. For each result (child) of a status (parent) you can associated a colour by clicking into the colour field opposite the result and choosing from the colour grid. If you do not want to associate colours leave the field blank. 
  5. Use the blue arrows to move the statuses (parents) into a different order. Results (children) cannot be moved into an order.
  6. Use the delete line button X to remove a status (parent). If you remove the line the status is on it will remove any results (children) connected. If you have multiple children connected to a parent you can remove the children using the X button until you come to the top child (result) for that parent (status) - once you click this X it removes the status.

  1. Use the Add Condition button to add multiple conditions. Max 10 conditions can be added.
  2. Each Condition is automatically numbered from 1 down to 10 with 1 being the first priority and so on.
  3. For each condition you list, you can use the + button to add extra condition options for the status and result selected.
  4. Choose your conditions from the drop-down: PO Submitted, PO Location Assigned, All Inspections Submitted, Any Inspection Status and All Inspections Statuses.
  5. If you choose the condition of 'Any Inspection Status' then this field opposite it will open up for you to choose from the list of item inspection statuses.
  6. Choose the PO status to associate to the condition set opposite.
  7. Choose the PO result to associate to the condition set opposite.
  8. Use the blue arrows to move the conditions into a priority order.
  9. Use the delete line button X to remove a line.

Note: If a condition is duplicated a message will populate on the screen to say it is not allowed.
