Add Item Inspection Programme

In the module Receiving and Inspection, you can add a new Item Inspection Programme by clicking Add Program.

Creating an Item Inspection Programme allows you to associate a defined Item Inspection Template to different Items (materials). The Item Inspection Template contains the specific checks to be conducted and by creating an Item Inspection Programme you are associating the specific Items that require the checks defined in the Template.

Once you create Item Inspection Programmes, they will be accessible from the tab called Programs in the Receiving and Inspection Module and if edited will contain the template selected. 

1. Item Inspection Programme

Enter Monitoring Program Details
  1. Item Inspection Template: Click and choose the relevant Item Inspection template that is going to be associated to the items (materials) you will list out in the section below.
  2. Date: The date field automatically populates with today's date.
  3. Programme Name: Give your programme a name e.g., this could be the category of items the programme is being created for e.g., Fresh Produce or Leafy Greens.
  4. Scope: Add a scope of the programme, a simple description of what it covers can be added.
  5. Risk: Set the risk of the programme, choose from the risk value drop-down none, low, medium, or high. This stays within the programme.
Enable Program Schedule
  1. Item: List out the items (materials) you are connecting the template to. You can either click the Add Line button to list them out, or simply use the tick box option when choosing from the Materials folder.
  2. Item Code: Once you select the Item, if the item has been given a code (our material code) in MasterData, it will appear automatically.
  3. Description: If a description of the item was given to the material in MasterData, it will appear automatically.
  4. Responsible: Assign an employee to each item you add who is generally responsible for the item.
  5. Specification Document: Select a specification from your documents module to associate to the item. In the item inspection record you will see at the top details bar the option to click and view the specification.
  6. Save: Click Save if you need to save your work but not create the programmes for the items listed. The programme will be located in the Programs tab of the module and will be pending.
  7. Save & Submit: Click Save & Submit when you are ready for the item inspection programmes to be created.

If you select an item (material) which is already associated to an item inspection template, a notification will pop-up when you try to save the programme.
