Self Service Tool- Food Safety Plan Module

This guide is to outline the options within the Self-Service Tool when creating a report for the Food Safety Plan Module. Below, each option on the left-hand side of the report builder is outlined in relation to this module.

Created Date

Created Date: This is the date on which the Food Safety Plan was created, which can be seen at the beginning of the Audit Log for an existing Food Safety Plan.

FSP Record

  1. Decision Model: The Decision Tree Model associated with the Food Safety Plan. This can be seen within the Study Details section of an existing FSP under the Model Details heading.
  2. Expert Assistance: This refers to any notes left within the ‘Expert Assistance’ box. This can be seen within the Study Details section of an existing FSP under the ‘Food Safety Team’ section. 
  3. Governing Legislation: This refers to any notes left within the ‘Governing Legislation’ box. This can be seen within the Study Details section of an existing FSP under the ‘Regulatory Information’ section.
  4. HACCP Review Programme: Refers to the name of the HACCP Review Programme associated with the FSP, if applicable. 
  5. Is Approved: Is the FSP approved or not? Approved FSPs can be located via Risk > Food Safety Plan, under the Approved tab. You may choose to filter your report by this field.
  6. Notes: This refers to any notes from the Study Details section of the FSP. You may wish to add notes as Tooltips to your report via the Marks section of the Self Service Tool.
  7. Product Process: Refers to the Product/Process of the Food Safety Plan from the Study Details section. This also shows up as the name of the FSP, which can be seen via Risk > Food Safety Plan.
  8. Risk Assessment Model: Refers to the Risk Assessment Model associated with the FSP. This can be seen within an existing FSP under the Model Details section. The Risk Assessment Model may be a system model or a custom model.
  9. Scope: The Scope of the FSP is set up when the plan is created and can be seen within an existing FSP under the Study Details section.
  10. FSP Record (Count): Refers to how many Food Safety Plan records there are within your site.

FSP Record Approvers

  1. Approved By: Refers to the name of the approvers for the FSP.
  2. Approver is Approved: This refers to whether the listed approver has approved the FSP.
  3.  Date Approved: This refers to the date on which the FSP was approved.
  4. #Approver Order: Refers to the order in which the approvers are listed within the Assign Users to Approve section of the FSP.
  5. #FSP Record Approvers (Count): Refers to the number of approvers. 

The above can be seen in the Plans section of the FSP. 

FSP Record Checklist

  1. Description: Refers to the description associated with an item in the Checklist.
  2. Item: The name of the item within the Checklist.
  3. #Checklist Order: This refers to the order in which the items are listed within the Checklist.
  4. #FSP Record Checklist (Count): This refers to the number of checklists for each FSP.

The above information can be seen in the checklist section of a FSP under Study Details.

FSP Record Flow Diagram

  1. Flow Diagram Description: This references the description associated with the flow diagram from the FSP. 
  2. Flow Diagram is Approved: Has the approval been completed for this section of the FSP? (Yes/No).
  3. Flow Diagram Title: This is the title associated with the flow diagram. 
  4. FSP Record Flow Diagram (Count): This refers to the number of flow diagrams associated with a FSP.

The above information can be seen within the Flow Diagram section of a FSP.

FSP Record Ingredient Material

  1. Ingredient Material Notes: Refers to any notes regarding the Ingredient/Material from the Materials section of the FSP. 
  2. Material: Refers to the Ingredient/Material from the Material section of the FSP. The Material/Ingredient is selected from Materials within the Master Data module. 
  3. Risk: Refers to the risk associated with the ingredient/material. The risk is determined in the Material page within the Master Data module. 
  4. Materials Order: Refers to the order in which the ingredient/materials are listed within the FSP. 
  5. FSP Record Ingredient Material Count: Refers to the number of materials within the FSP. 

The above information can be located in a FSP under the Materials tab.

FSP Record Relevant Document

  1. Relevant Document Title: Refers to the title of the Relevant Document from the FSP. The Document is selected from the Documents module.
  2. Relevant Document Order: Refers to the order in which the Relevant Documents are listed, if there are multiple.
  3. FSP Record Relevant Document Count: Refers to the number of Relevant Documents for each FSP.

The above information can be located within the Study Details section of the FSP under Regulatory Information.

FSP Record Step

  1. Step: Refers to the Process Steps from the FSP. 
  2. Step Description: Refers to the description associated with the Process Steps from the FSP.
  3. Step No: Refers to the step number. 
  4. FSP Record Step (Count): Refers to the number of steps overall for each FSP.

The record steps can be located in the Process Steps tab of the FSP.

FSP Record Step Hazard

Decision Report: Refers to the Report from the Decision Tree Section of a Hazard from the FSP.
Decision Result: Refers to the Result from the Decision Tree Section of a Hazard from the FSP.

The report and result can be located under the Hazard Analysis section of the FSP under Decision Tree:

Details: This refers to the Details/Source section of the Hazard Analysis.
Hazard Category: This refers to the Hazard/ Issue category section of the Hazard Analysis.
Hazard Nature: This refers to the Nature section the Hazard Analysis.

The above information can be located in the Hazard Analysis section of the Food Safety plan under Hazard Details.

Monitoring Details Name: This references the Name from the Monitoring Details section of the FSP.
Supporting Document Validation:
This references information input in the Validation box under the Supporting Documents header of the Hazard Analysis.

The above information can be located in the Study Details section of the FSP.

#Hazard Order: The order in which the hazards are listed.
#Hazard Total Risk: This refers to the sum of the risk associated with each type of hazard across all of the process steps.
#FSP Record Step Hazard (Count): This refers to the number of process steps in the FSP.

FSP Record Step Hazard Decision Tree

  1. Answer: This is the Answer from the Answer column in the Decision Tree section of the Hazard Analysis e.g. Yes or No.
  2. Question: This refers to the questions from the Decision Tree
  3. Question No.: The number associated with each question.
  4. #FSP Record Step Hazard Decision Tree (Count): The number of decision trees within the FSP.

FSP Record Step Hazard Issue

  1. Hazard Issue: The name of the Hazard/Issue from the Hazard Analysis. 
  2. Hazard Issue Description: The Description associated with the Hazard/Issue.
  3. #Hazard Issue Order: The order in which the Hazards/Issues are listed, if there are multiple.
  4. #FSP Record Step Hazard Issue (Count): The number of times the Hazard/Issue appears throughout the process steps. 

FSP Record Step Hazard Monitoring Details

  1. Control Limit: This refers to information from the Control Limit column of Monitoring Details table.
  2. Control Name: The name of the control from the Monitoring Details table.
  3. Corrective Action: This refers to the Corrective Action information from the table.
  4. Frequency: This refers to information from the Frequency column.
  5. How: Information from the How column of the table.
  6. Record: The record associated with the monitoring details.
  7. Responsible: The position of the employee responsible.
  8. Verification: The verification method.
  9. #Monitoring Details Order: The order in which the monitoring details are listed, if there are multiple.
  10. #FSP Record Step Hazard Monitoring Details (Count): The number of times the monitoring details step appears across the FSP.

FSP Record Step Hazard Preventive Measure

  1. Preventive Measure: The name of the Preventive Measure record from the Hazard Analysis.
  2. Preventive Measure Note: Any notes associated with the Preventive Measure.
  3. #Preventive Measure Order: The order in which the Preventive Measures are listed, if there are multiple
  4. #FSP Record Step Hazard Preventive Measure (Count): The number of times the Preventive Measure appears across the FSP.

FSP Record Step Hazard Supporting Document

  1. Supporting Document: The title of any supporting documents associated with the hazard.
  2. #Supporting Document Order: This refers to the order in which the documents are listed.
  3. #FSP Record Step Hazard Supporting Document (Count): This refers to the number of documents associated with the process step.

The above fields can be located in the Hazard Analysis under the Supporting Documents header.

FSP Record Team

Member: The name of the team member from the FSP Record Team.
Function: The function of the team member
Team Order: The order in which the FSP team is listed.
FSP Record Team (Count): The number of FSP Record Team members.

The above fields can be located in the Study Details section of the FSP.

Site

Site Name: Allows you to add the name of each of your Sites to your report or filter your report by site (Only applicable if you have multiple sites within Safefood 360).

User Filter

  1. User Filter: refers to whether user filter is applied or not. 
  2. Measure Names: refers to the names of measures used in the module.
  3. Measure Values: refers to values used in the module.
