How can I Learn How to Use the New Self-Service Tool?

How can I Access the Self-Service Tool?

The self-service tool can be accessed via Utilities > Reports > Add Self-Service Report. You can access the generic reporting tool via the SST Report Builder button which will allow you to select the module you wish to analyse.

You will also have the option to select the SST Ask Data button which will allow you to build a report using a search question feature. 

I Received the Following Message When Accessing the Self-Service Tool, What does this Mean?

This message indicates that you do not have an active license with Tableau and will not be able to access the reporting tool. If you require access, you can request this via a Professional Services representative or by submitting a ticket to the Support team.

What Licenses are Available for Accessing the Self-Service Tool?

Creators have the ability to create, search and browse their system to generate reports and share their dashboards either in the application to Viewers or through email updates assigned to a scheduler to all interested persons.

Viewers can access dashboards, reports and sheets created within Safefood360° and change values in filters, but are unable to modify or create dashboards or reports.     

How can I Request a Free Trial License?

Free trials can be requested through a Safefood360° Professional Services representative, or by submitting a ticket to the Safefood360° Support team here. Please note that free trials are only available for a two-week time frame.  

What modules will I have Access to on SST?

All SF360 modules will be available by the end of 2021. More information on the roadmap of reporting tool developments can be obtained by following Safefood360° updates or by contacting the Support team.

Once I have Access to the Self-Service Tool will I have Access to Data in all Modules?

You will only have access to modules on the self-service tool that you do through your user role. This reflects the role that is set up on your Safefood360° user profile. For example, if you do not have access to the Auditing Module on your user profile (via Settings > Users) will not see Audits on your ‘Add Self Service Report’ list. This can be amended by site administrators. 

How can I Add Fields to a Self-Service Report?

When your first open a self-service report, you will see a section on the left-hand side titled Tables. Here are the fields that reflect the records throughout the modules within Safefood360°. You can drag and drop a field by clicking the field and dragging it into either the column or row shelf of the report. In this example, the user has dragged the created date into the rows shelf. The report will now display the row of created dates. The Columns shelf creates the columns of a table, while the Rows shelf creates the rows of a table. You can place any number of fields on these shelves.

What is the Difference between Blue and Green Fields and Continuous vs. Discrete Fields?

Tableau represents data differently in the view depending on whether the field is discrete (blue), or continuous (green). Continuous and discrete are mathematical terms. Continuous means "forming an unbroken whole, without interruption"; discrete means "individually separate and distinct."

Green measures and dimensions are continuous. Continuous field values are treated as an infinite range. Generally, continuous fields add axes to the view.

Blue measures and dimensions are discrete. Discrete values are treated as finite. Generally, discrete fields add headers to the view.

Can I Change the Way a Field is Displayed?

Once a field has been added to the row or column shelf of the report, you can click the down arrow next to the field to gain access to the drop-down menu. Here, you can change if you would like a variable to be discrete or continuous. Here, you can also change how a date displays on the report. In this example, the date default is displayed as a year, but you can also change this field to display the Exact Date for more accuracy.

How can I Create a Filter?

Similar to other fields, you can drag and drop an entity into the ‘Filter’ section on the left-hand side of the table.

To expand a filter, you can click on the filter and set the criteria for the filter. For example, if you would like to filter by a range of dates you can select Relative Dates and set the date range you wish to view.

Other popular filters include filtering by status. For example: if you wish to only view open records, you can select specific stages of the record you want to include or you can exclude all completed records by selecting the exclude button within the filter and selecting the completed tab.  

What can I do if a Field is Not Available on the Self-Service Tool Tables Menu?

You can contact the Safefood360° Support Team via the Help button at the top of the Safefood360° site or using the ctrl + u feature to request an addition of a field. The Technical Services team can pass this along to developers. Once the field is added, you will be notified.

How can I Change the Colours of the Self-Service Report?

When you open the report, you will see a Marks section in the middle column, from there you can click on Colour and select which colour to be added to the report. 

Colour of the title text can also be changed by right clicking on the title and selecting Edit Title.

Who can Save a Self-Service Report?

A report can be saved by the report creator by clicking File > Save As. The report can then be accessed by anybody within the site who has a Creator/Viewer license. Only the report owner will be able to save the report.

Who can Delete a Report on the Self-Service Tool?

Self-service reports can only be deleted by the user who created them. An individual worksheet within the report can be deleted by right-clicking on the worksheet at the bottom and selecting Delete. A user who did not create a report will not be able to delete the report when they click delete. 

The report owner can delete an entire report via Utilities > Reports > Self Service Reports. Owners will see a Delete option next to each report. If you accidentally delete a report in error the Technical Services team will be able to recover this via a ticket.

How can I Export a Report I Create?

  • You can export the report by navigating via Actions > Edit. 
  • Click on the last icon in the top toolbar.
  • Click on Crosstab, select the worksheet to be exported.
  • Select the format (Excel or CSV).
  • Click on Download.

Please note this option is only available to report owners.

How can I Export a Report to Other Formats?

You will be able to export their report as an Image/PDF by opening the report and clicking Actions > Choosing which format you would like.

How can I Create Multiple Worksheets?

Reports are now divided into Workbooks and Worksheets (similar to an excel document). When you navigate to Utilities > Reports > Self Service Reports you will be presented with all workbooks previously created, by clicking into these you will see the worksheets inside. 

To add a new Worksheet, you can click the Add Worksheet icon.

How can I Customize the Reports Dashboard?

You can add multiple worksheets with single data visualisations then merge these in a Dashboard at the end. You can add a Dashboard via the Add Dashboard icon at the bottom of the report. 

At the bottom of the workbook, you can click on the New Dashboard icon. From the Sheets list at left, drag views to the dashboard at right.

How can I Create a Graph or a Chart with the Data?

You can create a graph by selecting the ‘show me’ icon on the right side of the table. Here you will see examples of the types of charts available. 

Please note that at the bottom of each chart, you will be presented with the number of green and blue fields needed to create the chart. For example, a bar chart needs one green field and one blue field. The example below shows one blue field in the column shelf and one green field in the row shelf.

How can I Create a Calculated Field?

You can create a calculated field by clicking on the down arrow next to the search bar on the data sidebar and selecting Create Calculated Field.

You can change the title by changing the text on Calculation1. After clicking on the small grey arrow on the white dialogue box, a list of calculations will appear. You can customize these calculations to add custom data to your report.
