Q: Can I manually upload more than one document at a time?

No. When you click ‘Add Document’ you can only pick one file. If hundreds of documents require an upload the Technical Support team can help. For more information you can contact them through the 'Help' button in the system or by email with the email address [email protected].

Q: Can I set a document version number and can it be listed as 1.1, 1.2, etc?

When you add a document for the first time you can set its version in the system, however letters and decimals cannot be used.

After adding a document, the version number can not be updated manually. For example, if a document is added to the system for the first time as version 5, the next time a new version of the document is uploaded it will progress automatically to version 6 (once approved) and this can't be changed manually. Version numbering can be updated for all documents with the help of the Technical Support team where an excel workbook would be sent to you to update the document versions to what they should be in the system.

Q: I uploaded a new document and enabled a scheduler from today so the document can be reviewed every 2 years. Why after saving did the Document review record generate?

If you want the document you are adding to be reviewed every two years, when setting up the scheduler for the first time you must add the future review date as a 'Start Date' in the scheduler, not 'todays' date as this will open the record 'today'. So if today is the 09.03.2024 and we want to conduct a review in March 2026, use the calendar function to set the start date as 09.03.2026.

Q: How can I rename a Documents Folder?

Below are the steps to take to rename a document folder:

1. Navigate to the Documents Module and click the 'Add Document' button. This allows you to access the document folder structure to make updates i.e., rename a folder.

2. Expand the Documents folder and click on the name of the folder you want to rename (i.e. the grey line is on the folder) and then click the 'Rename' button. The folder name will then be in edit mode so you can type in the new name. Once a folder name is updated the change is instantly saved. Therefore, you can move away from the page without any requirement to save anything.

Q: I've assigned a colleague to approve a document, but they cannot view the document in order to approve it. Why is this?

Firstly, check the user's assigned role (viewable in Settings under Users). A user with read only access will not be able to view or download a new version of a document going through the approval process therefore they can't read through the document to make a decision on approving or disapproving the document. A user with read only access to documents will however be able to click and use the approval buttons.

A user with read only access who is part of the approval workflow could click 'Edit' on the document and will then be able to access and view the current version of the document going through the approval process. An update of the user's role within the Documents module may need to take place so they can easily view or download the new version of documents going through the approval process which they are part of. The search field within the Material and Product MasterData main page pulls information from the Material and Product name only. Therefore, if you wish to search by code, please include the code within the material and product name. Please see example below.

Q: I do not need a Pass Warning result in my Variable Test, how do I remove this result outcome from my Variable Test limits?

To create a simple Pass/Fail limit within a Variable Test, use decimal places to create a limit that is unreachable in the Pass Warning fields. Add an extra decimal place within the limit and unsure to select the correct number of decimal places you wish to see in the Record. Please see example below.

Q: Can I rename the labels within the Differential Variable Tests which are being used in Monitoring records e.g. X1 and X2 on the Differential Numerical test?

The Sample 1 and Sample 2 labels within the Differential Variable Tests cannot be renamed. The label name for each value can be added into the Test Name to show the user what information will need to be placed within each section e.g. DOUGH WEIGHT DIFFERENCE: Before Proofing[X1] / After Proofing[X2].

Note: The sample 1 and 2 labels can be renamed only when the tests are going to be used in the Receiving and Inspection Module.

Q: Can I copy a checklist from one site to another e.g. when I have multiple sites?

If a checklist needs to be copied to another site, follow the below steps:

1. Navigate to the Categories Module and click on the checklist you want copied.

2. Make a copy of the checklist using the Actions > Copy button.

3. Rename the checklist as needed so it is clear it is a copy and save it.

4. Send the URL link of the checklist to the Technical Support team explaining what site you want the copied checklist to be moved to. You can create a folder in the site the checklist will be moved to in advance of sending a ticket, so there will be a folder in place for the Technical Support team to add the checklist into.

Q: Can QR Codes be generated for items in the system?

In the Reports tab of the Items module, a report called Items Avery Template #15395 – 8 Labels per Sheet (US Letter) can be generated. This report creates a QR code for each item in MasterData.

The QR codes can be printed and adhered to the item. You can then at any time scan the QR code with an ipad or phone and you are brought to the item in the system. You will see the list of programmes and records from different modules across the system that are associated with the item e.g. maintenance programme.

Q: Can I search using the item identifier code?

The search bar in the Items module only allows you to search for the items by item name and not by identifier number. A workaround to allow you to search would be to include the identifier number in the name of the item.
