Q: Why is the 'Pre-Work Risk Assessment' workflow section not available when I open my Maintenance Record?

The 'Pre-Work Risk Assessment' workflow stage will only open for maintenance records that have been assigned a Medium or High Risk (the risk is set in the maintenance programme). It will not open for records that have been assigned a risk of None or Low.

Q: Why hasn't my cleaning record which is linked to a maintenance record opened yet?

Any related cleaning record is only linked (generated) when the Maintenance Record stage is Saved, when the risk of the record is None or Low, and when the Pre-work Risk Assessment stage is Saved & Submitted for when the risk of the record is high or medium. Until then, the cleaning record is not generated and hence not displayed.

Q: When I select an employee in the 'Responsible' field of the Maintenance Breakdown Record, will that employee be notified by email to let them know they have been assigned the Breakdown Record?

The employee selected as 'Responsible' within the Maintenance Breakdown Record, will not receive an email alert but they will receive an action on their Safefood360 'My Actions' dashboard.  

Alert conditions and contact options differ for each module in the system. Alerts for the Maintenance Breakdown Record do not provide a contact option of 'Responsible for Action' (i.e. the employee selected in the responsible field gets an email directly). Therefore, if you wish to create an alert for this record type, you must select a specific employee you would like the alert to be sent to. For example, this could be the Maintenance Supervisor, who will be alerted each time a Maintenance Breakdown Record has been opened. This Supervisor can then inform the employee in question who has been selected as 'Responsible' within the record, that they will need to take responsibility for the completion of the record.

Q: When I select an employee in the 'Reported To' field of the Glass and Plastic Breakage Record, will that employee be notified of this via email?

The employee selected in the 'Reported To' field will not receive an email alert automatically or have an action on their Safefood360° 'My Actions' dashboard.

Therefore, if you wish to create an alert for this record type, you must select a specific employee you would like the alert to be sent to. There are two types of risk noted within the Glass & Plastic Programme. A user can first assign an overall risk to the programme and then to each individual item, as each individual item might have a different risk based on factors such as its location, proximity to materials or product, etc.

Q: I selected 'Yes' for the 'Breakage Report Required' field within my Glass and Plastic record, but no Breakage Report record opened within the Actions tab when I Saved and Submitted my record.

Selecting 'Yes' for the Breakage Report does not automatically create a Breakage record within the System. You will need to use the 'Add Breakage Report' button within the Glass and Plastic Module main page.

Q: The 'Location' of the Items listed in my Glass and Plastic Record is blank, why is this?

The 'Location' field seen in the Glass and Plastic Record is pulling from the 'Location' noted within the Item in MasterData. Please ensure you have completed the 'Location' within the Item in MasterData correctly. If the 'Location' is left blank within the Item in MasterData, then the 'Location' in the Glass and Plastic Record will be blank. Click here for more information on Items.

Q: Can I customise the Breakage Report Record checklist?

The checklist questions can be replaced by a checklist built in your site. Once you have created your checklist you can send a ticket to the Support Team requesting for them to embed the checklist you created into your breakage records. Include the link to the checklist so the team know the correct checklist to embed.

Note: The questions in the checklist you create should be tailored to yes/no answers as there is no option for customised responses for breakage record checklists.

Q: How do employees sign-off on training sessions they were part of?

There are two options to capture employee sign-off on training:

1. The first option is for the employee to sign a document and the document can be attached to the training record using the Add Attachment button in the Actions dropdown.

2. The second option is for the employee to log into Safefood360°, navigate to the Audit Log in the Actions dropdown, type their name in the text box below the audit log, and submit it to the audit log. This puts an electronic signature on the record for the employee. Note that all employees would need to be a user of the system in order to use the audit log to capture electronic signatures.

Q: Can I note in a training record the objectives or contents covered?

Training objectives and content can be completed inside the training programme however they are not pulled into the training record. Documents containing details on the training sessions objectives and content covered can be added as attachments in the record using the Actions > Add Attachment button.

Q: Is it possible to change the risk assessment model which is in the recall programme?

Yes, the risk assessment model can be changed if required.

Firstly, you should create your new recall risk assessment model in the Food Safety Plan Module under the Risk centre. Click here for more information on building risk models.

After adding the model, you should then send a request to the Technical Support team to embed your new recall model into your recall module (programmes). Ensure to include a link (URL) to the model with your request. Click here for more information on contacting the Technical Support Team.

Q: Why is the total in the Reconciliation stage for a Material Traceability record not matching the material quantity field in the Details stage?

In the Reconciliation stage the total figure is taken from the field called 'Final Product Yield' in the Traceability Details stage and not from the 'Material Quantity' field.

If you would like to trace the material quantity only, then you should replicate the material quantity in the 'Final Product Yield' field so the Reconciliation stage will be reconciling on this value.

Below explains the difference between the limits.

  1. Warning Limit: If the result of the test is equal to or exceeds this value (but less than the action limit), the value in the record will flag orange with Pass as the result. If a warming limit is not required, then the same value added to the Action limit field can be added in Warning limit field.
  2. Action Limit: This is the upper limit specification i.e., if the result is equal to or exceeds this value, then in the record the value will flag in red with Fail as the result.
  3. Legal Limit: This is optional and doesn't require completion. If the result of the test in the record is equal to or exceeds this value here, it will flag in red in the record with Fail as a result.

Q: In the Microbiological Control programme, when setting limits, do they need to be numerical or can I have an attribute, such as negative and positive?

When setting up a Microbiological Control programme, only numerical values can be added. If the test result will be non-numerical such as Negative or Positive (e.g. when testing Salmonella, Listeria, etc.), it can be built adding the Target as 0 and the Action limit as 1. In the Notes field opposite you can mention that 0 should be added when the result of the test is negative and 1 for when the result is positive.

Q: An employee is seeing an error screen when trying to add a Cleaning record. Why is this happening?

In a Cleaning programme, if a Training programme has been linked within the 'Required Training' field, all employees who wish to complete a Cleaning record from the Cleaning programme must have completed the required training i.e., there should be a completed training record in the system with the employee marked as having completed the training.  

If a Training record has not been added to the Training module for the employee, then when the employee tries to generate a Cleaning record, the system will provide an error screen detailing 'You have not completed the required training to conduct this programme. Please contact your manager.'

This error can be amended immediately by completing a Training record for this employee or the Cleaning programme can be updated to remove the linked Training programme.
