Monitoring & Receiving Modules: FAQs

Q: When trying to save a Monitoring programme, I get pop-up saying 'At least one test should be selected', how can I fix this?

To save a Monitoring programme successfully, ensure you have within the Tests section, at least one Variable test or one Attribute test, as this is a requirement to save the programme.

Q: How do I remove the 'Trace No.' field within Monitoring Records?

The 'Trace No' field can be removed from the Monitoring Record by:

1. Navigate to the Monitoring programme and click on it.

2. Click Actions > Edit.

3. Disable the 'Enable Trace No. Field' box within the Monitoring programme(s). The 'Enable Trace No. Field' will always be enabled by default when you first create a Monitoring programme, therefore ensure you have disabled the 'Enable Trace No. Field' box if you do not wish to have this field. Note: If you copy a Monitoring programme from an existing programme, this will cause the 'Enable Trace No. Field' to be enabled, therefore ensure you have disabled the 'Enable Trace No. Field' box if you do not wish to have this field in your programme.

4. Save the programme. The next time a record is added from the programme the trace no. field will be gone.

Q: I don't use the verbiage 'Trace No.', can this field name be changed in the system?

'Trace No.' is a fixed field within the system, therefore the name cannot be renamed.

In the Monitoring module the field can be disabled in the programme and an open data test can be created and added to the programme so you can have any name you wish. However, if you are not using the system trace no. fields then you will not be able to search by trace number when using the traceability report, as when you search by trace number it will only pull records using the system trace no. field.

Q: Why is the 'Completed By' field in the Monitoring record not auto-filling with my name?

The 'Completed By' field will only auto-fill if the user is associated with their employee name. This association can be made by:

1. Navigate to the Users section in Settings.

2. Search for the user's name and check the column called Contact Association to see if the employee's name is appearing there.

3. If the field is blank proceed to click into the user's name.

4. Under Contact Association selected the user's employee name from MasterData and Save. Once this association has been completed, the 'Completed By' field will auto-fill the next time this user opens a Monitoring record.

Q: When trying to save a Receiving programme I get pop-up saying, 'At least one test should be selected', how can I fix this?

To save a Receiving programme successfully, ensure that within both the Delivery Test Specification and Ingredient/Material Test Specification sections at least one Variable test or one Attribute test has been selected, as this is a requirement in both sections to save the programme. If there is only Open Data tests included, then the programme will not save.

Before adding Receiving records in the system, ensure all Materials are connected to the relevant suppliers in MasterData. The Material dropdown in the Receiving record will only pull the materials connected with the supplier selected in the record. If no connections are made the Material dropdown will be empty.

Navigate to each material and associate the relevant suppliers or navigate to each supplier and associate the materials. Click here for more information on supplier and material relationships.
