Saving, Deleting, Modifying & Renaming

1. Saving Records

There are three buttons:

  • Save: This allows you to "save a draft" of the workflow stage. Doing so will save the data but won't submit or close the workflow stage.
  • Save & Submit: Simultaneously saves the data and closes the workflow stage or the record.
  • Cancel: Returns you either back to the module or back to viewing the completed record.

2. Modifying Forms

How you modify records and programs differ slightly.

When modifying records, workflow sections must be modified individually. Click edit on the workflow stage to do so. When you are done modifying the record click save & submit again.

For Programmes you should select 'Actions > Edit' to modify.

Master Data Entities such as employees, products, etc. are the same - select 'Actions > Edit' to modify.

3. Reason for Change when Modifying

Anytime you change a record, program, or entity you will be required to complete a quick 'Reason for Change' form.

  1. Enter your reason for the change.
  2. Click 'Confirm'.

Your reason for change will be added to the Audit Log.

4. Deleting Records & Programs

  1. Click 'Actions > Delete'.
  2. Confirm that you want to delete the record or program.
  3. Give a reason for deleting the record or program.

When you delete a program, the records generated from that program will not be deleted. This is to prevent the data in the system from being tampered with and manipulated.

5. Deleting Master Data Entities

Entities such as Products, Materials, Suppliers, Employees, Items, etc. cannot be deleted. Doing so would compromise the integrity of your Food Safety Management System given the integrated nature of all the modules. However, if you wish to remove an entity we recommend that you modify the name to indicate that it is no longer in use or using the archive option (Actions>Archive).

6. Renaming Records

Sometimes you may be completing a record, e.g. a complaint record, which you want to rename to include a reference number.

1.  While in the record click Actions on the top right-hand side of the record & select Rename.

2.  Update the name and click Save.
