Traceability Report

Located in the Reports tab of the Traceability Module is the Traceability Report which you can use to trace records completed in the system associated with a material or final product. The is report can be used while conduct a traceability audit or at any other time to search for records.

Traceability Report

1. Start/End: Set the start and end dates for which the report will populate the data. The report will automatically default to a year.

2. Search On: Select from the list which entity to search for i.e., by Product Name, Material Name, Product Trace No., Material Trace No., or Audit Name.

3. Looking For: After selecting the entity you are searching for in the Search On list, use the Looking For search bar to search for the entity e.g. a product trace no., a material trace no., a product name, a material name, or the name of an audit. After typing into the field use the Update button to update the report or use the enter key.

4. Customer: Use the drop-down to filter by a specific customer. This allows you to see records such as dispatch records connected with a customer.

5. View: The View drop-down allows you to filter down to specific records i.e., Material, Product, or Dispatch records. (Dispatch records are monitoring records in which you have the Master Data Customer drop-down, timestamp and quantity fields added).

6. Update: After setting the search on options and completing the looking for fields click Update to update the report.

7. Arrows: Use the arrows to move across multiple pages of records.

8. Export: You can export your report by clicking the export symbol and choosing your preferred export format e.g. PDF.

9. Use the refresh button to fresh the report.

Note: You are required to use the 'Search On' and 'Looking For' search bar together, for example, if you want to find records relating to a product name you would choose 'Product Name' from the Search On list and then use the 'Looking For' search bar to type out the name of the product.

Records relating to your search will be categorised under the heading sections of Product, Material, Dispatch Records, Internal Audits. Depending on what you are searching for you may only have records under one or a few headings. Use the arrows (7) to move through the pages of records and to see each section.

Product

1. Start Date/End Date: The time frame for which the report is showing data for populates here.

2. Searching: The search entities set for the report is displayed here e.g. this is searching the product trace no.

3. Search Value: The name of the search value or 'Looking For' value applied to the report.

4. Customer: The name of the customer(s) the search relates to.

5. Conducted: The date the record was conducted is displayed in this column.

6. Record Name: The name of the record will appear here. Click the name of the record to be brought to it in the system.

7. Record Type: The specific record type name shows up in this column.

8. Product: The name of the product will appear here. Click the name of the product to view it.

9. Trace No.: The trace number will appear in this column.

Material

1. Conducted: The date the record was conducted is displayed in this column.

2. Record Name: The name of the record will appear here. Click the name of the record to be brought to it in the system.

3. Record Type: The specific record type name shows up in this column.

4. Material: The name of the material will appear here. Click the name of the material to view it.

5. Trace No.: The trace number for the material will appear in this column.

Dispatch Records

Dispatch records are simply monitoring records that were setup in a certain way to appear under 'Dispatch Records'. The monitoring programme would of been setup to include the MasterData Customer drop-down, a timestamp, and quantity field.

1. Customer Name: The name of the customers the dispatch records relate to.

2. Date: The date of the dispatch record (completed date).

2. Searching: The search entities set for the report is displayed here e.g. this is searching the product trace no.

3. Trace No.: The trace number on the dispatch record.

4. Record Name: The name of the record will appear here. Click the name of the record to be brought to it in the system.

5. Product: The name of the product will appear here. Click the name of the product to view it.

6. Quantity: The value added to the Quantity field in the dispatch record for the specified trace no.

7. Total: The report will total up all quantities recorded for the specified trace no. and display under Total.

Internal Audits

1. Date: The date of the audit record.

2. Name: The name of the auditing record will appear here. Click the name of the record to be brought to it in the system.

3. Audit: The name of the auditing programme from which the record generated from.

4. Site Sequence ID: The specific record number or ID.
