Auditing Records

The Safefood360° app currently contains Auditing, allowing you to conduct your auditing records offline.

Select your Safefood360 Site Name

Enter Internal Audit Details

If you have access to multiple Safefood360° sites, you can click and select the site you want to access and use. After clicking the down arrow to choose a site, you will see a search bar you can use to search the list of sites.

Scheduled Audits

Select Scheduled Audits to access all open internal audit records requiring completion.

Search / Sort / Filter Functions

1. Use the search bar to search for the name of a specific record you are looking for or alternatively scroll through the list.

1. Use the Sort button to sort the records by open date or due date.

2. Click to choose to sort by Latest to Oldest or Oldest to Latest.

3. Click Save after selecting your sort options.

4. If you don't want to save click Discard.

1. Click Filter to filter the open records.

2. Click to filter and see only audits that you have checked out (an audit record is considered checked out by you when you have marked it for offline editing).

3. Click into the Auditor name search field to search your MasterData (Employees, Customers, Suppliers, Organisations, & Sites) for an auditor you would like to filter by.

4. Choose a specific stage of the internal audit records which you would like to filter by.

5. Choose a specific risk which you would like to filter the audit records by.

6. Click Clear All to remove any filters you have put in place.

7. Click Submit after setting your filter options to apply them.

Selecting an Internal Audit Record

Click on the specific record you want to select and work on.

1. The risk of the record.

2. The name of the record.

3. The date the record generated on.

4. The name of the assigned auditor responsible for the record.

5. The internal audit record number.

6. The date the record is due for completion based on the internal audit scheduler. No due date means no scheduler is in place.

7. The stage the internal audit record is currently open on is displayed here.

1.  Use the back arrow to navigate back to the list of scheduled audits.

2. The internet connection icon allows you to see if you are online or offline.

3. The name of the record and its date/due date is displayed here.

4. The risk of the record and the record number is displayed here.

5. The name of the assigned auditor is displayed here.

1. To work on completing the record offline, click to slide the button to enable offline editing.

2. After enabling offline editing, a pop-up appears confirming 'You have successfully checked out this record'. Click Okay to remove the message.

3. After enabling offline editing, the top of the record appears green to confirm that you have checked out this record for offline editing.

4. To turn off offline editing and return online to sync the record changes (check-in your record), click to slide the button. Note: you can only check-in a record and sync changes when you have an internet connection. If you’ve checked out your record for offline editing and try to check it in again without internet connection, then it’s not going to work.

5. After syncing the record, a notification appears to confirm you have successfully checked the record back in and synced your changes.

1. The stages of the audit record are displayed here. The active stage of the record appears white, while the stages which have not been opened are grey. If a stage has been fully completed i.e. saved and submitted it will appear white with a green tick. Click on the active stage to access and complete it. 

2. To attach photos or files to the overall record, click 'Upload file or photo' and you will be able to choose from the options of Take photo, Upload photo, or Upload file.

Details Stage

1. Click into the start date field to set the start date of the record. Click into the time field to set the time the audit was started.

2. Click into the finish date field to set the finish date of the record. Click into the time field to set the time the audit was completed.

3. By default, the auditor specified in the audit programme will appear here. However, if necessary, this can be changed. Click the 'Add Auditor' button to select from your employee MasterData list. Any existing auditor can be removed using the 'X' delete button.

4. If applicable, you can select any other attendee in attendance during the audit.

5. Any documents that were selected in the audit programme will appear here. Simply click to view the document.

6. Click Save to save your work as you work on this stage of the record.

7. Once you have completed the details stage, click Save & Submit to progress to the next stage.

Audit Record Stage

1. An overview of how many questions/sections have been completed in the audit so far is displayed here.

2. When the audit checklist has no headings, you will be able to see all the requirements/questions requiring completion displayed here. Click on the requirement/question to access it and complete it.

3. When the audit checklist does contain headings, you will first see all the headings/sections here. Click on the heading to then access the list of questions under that heading and then click on each question to begin completing it.

4. Once you have completed the audit checklist you can add a short audit report or any overall comments.

5. Once the stage is saved & submitted an electronic signature will appear here. Expand to view the signature.

6. While working on this page click save to save your work.

7. Once this section is completed and you are ready to progress to the next stage, click Save & Submit.

Note: When setting up audit checklists in the Safefood360° system (browser version) which will be used in audits that will be completed in the mobile app, it is best to use very simple HTML when formatting headings to ensure the rendering of the headings displays correctly here in the app.

After clicking on the requirement/question you can complete a response to the requirement/question, add any comments, attach pictures/files and raise a corrective action if required.

1. The requirement/question you are answering appears here along with the question number above it.

2. Click into the response field to choose from the list of responses. It is a mandatory field here in the mobile app to select a response even if it is not mandatory in the Safefood360 online platform.

3. Add any comments or observations in this open field.

4. To attach photos or files to the requirement/question, click 'Upload file or photo'.

5. If you have noted a non-conformance against the requirement, you can tick the Corrective Action box and complete the corrective action fields (Category, Responsible, and Due Date).

6. Click SAVE to save your work on the requirement.

7. You can move to the next question by clicking the arrow.

Providing a Response to the Requirement/Question:

1. When you click on the response field, a pop-up with the response option appears on the bottom of the screen. Simply select a response.

Upload a file or Photo:

1. To attach photos or files to the requirement/question, click 'Upload file or photo' and you will be able to choose from the options of Take photo, Upload photo, or Upload file.

2. After uploading the file/photo, you are requested to give the file/photo a name.

3. The files/photos will appear under 'Upload File or Photo. You can remove the file/photo by clicking the bin symbol.

Raise a Corrective Action from the Requirement:

1. Tick the corrective action box to raise a corrective action against the requirement/question. After ticking the box 3 fields appear called Category, Responsible, and Due Date which are mandatory fields.

2. Click into the Category field to select from the list of non-conformance categories of critical, major, minor, or recommendation.

3. Click into the Responsible field to select the person who should be assigned as the investigator of the corrective action. Expand the relevant section (employees or suppliers) and choose the responsible person. You can also use the search box at the top to search for the person's name.

4. Click on the field Due Date to assign a due date to the corrective action. Use the calendar pop-up to set the date and then click OK.

As each requirement has a response added a tick will appear to indicate it is completed (if the audit has default responses in place with will automatically appear ticked). Once the section is fully completed and you are ready to progress on, click Save & Submit.

Non-Conformance & Corrective Action Stage

1. An overview of the requirements/questions from which corrective actions were noted appear here. Click on each requirement/question to access and review the details set for the corrective action. Even if no changes are needed click save so the system knows you have reviewed the non-conformance details. As you review each one a tick will appear confirming you have reviewed it.

2. Use the report field to add any overall comments on the corrective actions being raised.

3. Once the stage is saved & submitted an electronic signature will appear here. Expand to view the signature.

4. While working on this page click save to save your work.

5. Once this section is completed and you are ready to progress to the next stage, click Save & Submit. Note: You will not be able to save & submit until you have clicked into each requirement above to review the details and save.

Audit Result Stage

1. If the audit contained scoring, the overall score result will appear here. If no scoring was in place it will populate with 'Not Applicable'.

2. Select from the drop-down your overall result for the audit

3. Select from the drop-down your overall rating for the audit.

4. Click to view the summary table for the audit.

5. Click to view the responses table for the audit.

6. Use the report field to add any overall comments on the audit.

7. Once the stage is saved & submitted an electronic signature will appear here. Expand to view the signature.

8. While working on this page click save to save your work.

9. Once this section is completed and you are ready to progress to the next stage, click Save & Submit.

Summary Table:

Click on Summary to view a summary of the audit checklist and how many non-conformances were raised. If the checklist used is broken into sections the summary section will provide analysis per section which includes a score for the section (when scoring is in place), overall result and rating for the section, and will show how many non-conformances were raised in the section by category (click the blue arrow to expand and view the number of non-conformance's raised by category).

Responses Table:

Click on Responses to access an overview on how many of each response was selected in the audit. If the audit checklist was broken into sections, the responses will also be analysed by section.

Editing the Audit Record

1. While completing the record you can edit any saved & submitted stage by clicking on the stage name and then clicking Edit.

2. After editing and making your change, click Save & Submit. A Reason for Change pop-up will appear where you can detail the reason for making the edit. Click Confirm after adding the reason.

Create New Audit

Create New Audit allows you to select an existing audit programme from which you want to add a new audit record from.

1. Use the search bar to search the name of the audit programme you want to add a record from.

2. Click on the name of the programme you want to add a record from.

The Audit Details stage of record opens after choosing a programme.

1. Click into the start date field to set the start date of the record. Click into the time field to set the time the audit was started.

2. Click into the finish date field to set the finish date of the record. Click into the time field to set the time the audit was completed.

3. By default, the auditor specified in the audit programme will appear here. However, if necessary, this can be changed. Click the 'Add Auditor' button to select from your employee MasterData list. Any existing auditor can be removed using the 'X' delete button.

4. If applicable, you can select any other attendee in attendance during the audit.

5. Any documents that were selected in the audit programme will appear here. Simply click to view the document.

6. Click Save to save your work as you work on this stage of the record.

7. Once you have completed the details stage, click Save & Submit to progress to the next stage.

Complete the stage and continue to complete the record as shown in the previous section detailing how to complete the record. 

If you need to leave the record, you will be able to access it again by going through 'Scheduled Audits' as this is where all open records are located and you will also be able to use the offline editing function.
