Study Details

1. Study Details: Product/Process, Scope and Notes

1. Product/Process: This open text field will become the name of your Food Safety Plan (i.e. the name of the Product or Process being studied). This can be one specific Product or Process, or multiple Products/Processes may be grouped under a generic study as long as the Product and Process are similar, and all Hazards are addressed.

2. Scope: This open text field allows you to detail the Scope of the Food Safety Plan study including the Products/Processes covered and where the study starts and finishes. Include as much detail as is necessary for an Auditor or Customer to understand the Scope.

3. Notes: This open text field allows you to add any relevant Notes related to this Food Safety Plan that may not fit within other fields.

2. Model Details: Risk Assessment and Decision Tree Models

Safefood360° will automatically generate a System Risk Assessment and System Decision Tree within the Food Safety Plan when it is first created. However, it is possible to change these Models using the dropdown arrow if you would like to use your own Models. The Risk Assessment and Decision Tree Models selected here will be used within the Hazard Analysis.

Risk Assessment Models

Within the Risk Assessment Model dropdown the option to select from 'My Risk Assessment Models' and 'System Risk Assessment Models' folders will become available. The 'My Risk Assessment Models' folder will be empty until Risk Assessment Models have been created by you within the Food Safety Plan Module on your Safefood360° Site. See the Risk Assessment Article on how to create a Risk Assessment Model in Safefood360°.

Once you have created your Risk Assessment Model, simply locate the Risk Assessment Model in the dropdown by searching through the folders or search bar and clicking the 'Select' button to select the Risk Assessment Model for this Food Safety Plan. This Risk Assessment Model will then be used in the Hazard Analysis to determine the Risk Level of the Hazard.

If you do not wish to create your own Risk Assessment Model, you can select from the System Risk Assessment Models within the 'System Risk Assessment Models' folder.

Decision Tree Models

Within the Decision Tree Model dropdown the option to select from 'My Decision Tree Models' and 'System Decision Tree Models' folders will become available. The 'My Decision Tree Models' folder will be empty until Decision Tree Models have been created by you within the Food Safety Plan Module on your Safefood360° Site. See the Decision Tree Article on how to create a Decision Tree Model in Safefood360°.

Once you have created your Decision Tree Model, simply locate the Decision Tree Model in the dropdown by searching through the folders or search bar and clicking the 'Select' button to select the Decision Tree Model for this Food Safety Plan. This Decision Tree Model will then be used in the Hazard Analysis to determine whether the Process Step should be considered a CCP or another type of Control Point, e.g. PC, oPRP, etc.

If you do not wish to create your own Decision Tree Model, you can select from the System Decision Tree Models within the 'System Decision Tree Models' folder.

3. Periodic Review

If you enable the Periodic Review by ticking the box, an option to set up a scheduler will become available. This scheduler will automatically generate a Food Safety Plan Review Record within the Management Review Module for this particular Food Safety Plan on the dates specified. 1. Start Date: Set the date you would like the Food Safety Plan Review Record to generate.

2. Repeat Every: Set the frequency at which you would like the Food Safety Plan Review Record to generate. Simply type the number within the first field and select the frequency options from the dropdown, e.g. Years, Months, Weeks, Days, Weekdays.

3. Action Notice: You can set the Action Notice to '0' if you want the Food Safety Plan Review Record to open on the exact 'Start Date' noted. However, you can use the Action Notice to ask Safefood360° to open the Food Safety Plan Review Record a number of days before the 'Start Date'. For example, setting the 'Action Notice' as '6' days will result in Safefood360° opening the Food Safety Plan Review Record on 20/10/2022, 6 days before the 'Start Date' of 26/10/2022. This gives the User time to complete the Food Safety Plan Review Record in Safefood360° before it goes overdue on 27/10/2022.

4. Send Email Notification: Tick the box to enable the 'Send Email Notification' option. This allows you to note the Users that are to be notified via Email that the Food Safety Plan Review Record has opened and is ready to be completed. If you leave this box unticked, no one will be directly notified when the Food Safety Plan Review Record opens within the Management Review module.

Note: The 'Action Notice' dropdown options will increase depending on the 'Repeat Every' dropdown option selected, e.g. 1 Year will result in up to 365 days 'Action Notice' options, 6 Months will result in up to 180 days 'Action Notice' and 1 Month will result in up to 30 days 'Action Notice'.

Email Notification Ticked On

1. Automatically Safefood360° will populate the name of the User creating the Food Safety Plan. However, Users can be deleted by clicking the 'X' button.

2. More Users can be added using the 'Add Line' button.

Selecting New User

1. Once you have clicked 'Add Line', to access the Users, click the dropdown arrow. This will provide you with the list of Users within your Safefood360° Site. You can search through your Users using the search bar or by navigating through the folders.

2. Click the 'Select' button to add the User to the list. Click 'Cancel' to exit the User list.

4. Users to Approve

1. Automatically Safefood360° will populate the name of the User creating the Food Safety Plan. However, Users can be deleted by clicking the 'X' button.

2. More Users can be added using the 'Add Line' button.

1. Once you have clicked 'Add Line', to access the Users, click the dropdown arrow. This will provide you with the list of Users within your Safefood360° Site. You can search through your Users using the search bar or by navigating through the folders.

2. Click the 'Select' button to add the User to the list. Click 'Cancel' to exit the User list.

Note: Users selected to 'Approve' the Food Safety Plan will need to 'Approve' the Food Safety Plan in two different locations.

1. Flow Diagrams: Each Flow Diagram created in the Food Safety Plan must be 'Verified' by each User. See the Flow Diagram Article for more information.

2. Plans: Each set of Plans, whether it be CCP, PC, oPRP, etc, must be 'Approved' by each User. See the Plans Article for more information.

5. Food Safety Team

1. Food Safety Team Members can be noted within the Food Safety Plan. You will need to select the 'Employee' from MasterData and select a 'Function' that best matches their role within the team.

2. Click the 'X' button to remove any Team Members from the list.

3. Click the 'Add Line' button to add a new Team Member to the list.

4. An external Expert Assistance you may have received during the creation of your Food Safety Plan can be noted here using the open text field.

1. Once you have clicked 'Add Line', to access the 'Employees' and 'Suppliers', click the dropdown arrow. This will provide you with the list of 'Employees' and 'Suppliers' within your MasterData. You can search through your Users using the search bar or by navigating through the folders.

2. Click the 'Select' button to add the 'Employee' or 'Supplier' to the list. Click 'Cancel' to exit the 'Employees' and 'Suppliers' list.

3. Using the 'Function' dropdown, select the 'Function' that best matches the 'Employee' or 'Supplier'.

6. Product Data Checklist

The Product Data Checklist allows you to define the intrinsic and extrinsic properties of the Product. This assists the Food Safety Team in identifying those attributes which make the Product either safe or unsafe.

1. Item: The Item list will auto populate when a new Food Safety Plan is created. However, this list can be edited. Simply click into the Item box to rename the Item. This is an open text box.

2. Description: The Description will be blank when a new Food Safety Plan is created. This must be completed before the Food Safety Plan can be 'Saved'.

3. Click the 'X' button to remove Items.

4. Additional Items can be added by clicking the 'Add Line' button.

1. Once you have clicked 'Add Line', to add a new Item, simply click into the Item box to name the Item.

2. Click into the Description box to detail the Description of the Item.

3. Click the 'X' button if you no longer need this added line and would like to remove it.

Note: The Item list that auto populates when the Food Safety Plan is added is suited to a Hazard Analysis Critical Control Point Plan (HACCP). A Preventive Control Plan (PCP) Item list would differ, see the example below.

- Product Name(s) and Formulation
- The Condition, Function, and Design of the Facility and Equipment
- Raw Materials and other Ingredients
- Physical, Biological and Chemical Properties
- Manufacturing/Processing Procedures
- Packaging and Packaging Activities
- Storage and Distribution Conditions
- Intended or Reasonably Foreseeable Use
- Sanitation, including Employee Hygiene

7. Regulatory Information

1. Governing Legislation: An open text box to note any Legislation used while creating your Food Safety Plan.

2. Relevant Documents: Documents can be linked straight from the Documents module to the Food Safety Plan. This allows you to note any Documents that may have been used during the Food Safety Plan creation, e.g. Food Safety Policy.

3. Click 'Add Line' to select another Document from the Documents module.

4. Once the Document has been selected, there will be a 'View' button to quickly view the Document from this page without needing to access the Document in the Documents module itself.

5. Click the 'X' button to remove the Document.

1. Once you have clicked 'Add Line', to access the Documents, click the dropdown arrow. This will provide you with the list of Documents within your MasterData. You can search through your Documents using the search bar or by navigating through the folders.

2. Click the 'Select' button to add the Document to the list. Click 'Cancel' to exit the Document list.

8. Saving New Food Safety Plan/Changes to Existing Food Safety Plan

1. Click the 'Save' button to save the newly added Food Safety Plan or to save changes to an existing Food Safety Plan.

2. Click 'Cancel' to remove the newly added Food Safety Plan, or to discard the changes made to an existing Food Safety Plan.
