Add a Monitoring Programme

This form is used to set up specific programmes that are outside the scope of the standard modules within Safefood360°. These are typically operational and process control programmes such as those required for CCP monitoring and operation PRP’s. Examples include daily production and product tests, CCP monitoring checks and temperature control monitoring. Programmes in this module are built from Tests which are set up in the Tests module under Master Data.

1. Enter Monitoring Programme Details

  1. Enter the name of the programme.
  2. Enter the scope of the programme.
  3. Conduct a brief risk assessment and enter your justification.
  4. Select the employee or if applicable, the supplier who is responsible for this programme.

3. Define the Programme Specification

Monitoring is built up from two elements: Sample points and Tests. A sample point is whatever thing you are making the tests about, and tests are the actual specifications for what you are about to record. Tests can include Variable tests, Attribute tests, Open Data, and Master Data. Mixing and matching all kinds of tests, open data and Master Data allows you to build very rich monitoring forms in a matter of minutes.

  1. Select the sample points to be monitored or tested. You can select from your list of Products, Materials, Ingredients, Services, Employees, Hazards and Items. If required you can select the same sample point multiple times. You can also leave the sample field blank in the program, however, you will need to complete the field in the monitoring record.
  2. Now define your test specification. These are the Variable, Attribute and Open data tests that you will have already created in the Tests module. You can also select from Master Data e.g. Final Products, and in the record, you will have a drop-down to just choose from your list of final products.
  3. If the test is related to a CCP you may tick the box (in the record the CCP symbol will appear against the name of the test to let you know it is a CCP.
  4. The description fields come from the Tests module and are for your information only, so you may not edit the contents here. If a test was given a description, in the record when you hover over the test name the description will pop up.
  5. If you check the mandatory field then the operator will have to complete the test or they will be unable to save and submit the record. Note: When an open data drop-down list test is selected inside a monitoring programme, if the test is made mandatory, the 'None' value will not show up in the drop-down list in the monitoring record.
  6. If required you can use the blue arrows to push tests up and down to get them in the order you prefer. You can also remove a test by clicking the X button.
  7. You can add new tests by clicking 'Add Line'.
  8. If you would like a field called Trace No. to appear beside the column called Sample in the monitoring record, enable this box. This is simply an open field. By enabling the trace no. field to track your different lot, batch or trace numbers, you will be able to use the Product and Material Traceability Reports located in the Traceability Module. The reports allow you to pull certain records across the system where you added a Trace No., including monitoring records.

4. Associated Procedures & Records

1. While you can attach documents/procedures to individual tests, you can also associate documents in the programme. When a user is completing the monitoring record, they will be able to click and view the document. First, ensure the document has been uploaded to the documents module.

5. Define Verification Checklist

  1. Select the checklist that will be presented at the verification stage of the workflow. By default when creating a new monitoring program the Safefood360° checklist will appear and you can click in to change it.
  2. Here you can choose the default response to the checklist. Choose from Yes, No, Not Applicable or Blank.
