1. Enter Maintenance Programme Details

  1. Enter the name of the maintenance programme.
  2. Select the Item to be maintained/serviced.
  3. Select the type of maintenance programme you are creating. Choose Annual Service, Bimonthly, Quarterly, Routine or Semiannual from the dropdown.
  4. Conduct a brief risk assessment on the programme and enter your justification.
  5. Select the supervisor in charge of the maintenance.
  6. Select any relevant procedures or other documents relating to the maintenance programme.

3. Define Checklists

Define Checklists

These two checklists separate Safefood360° from many other maintenance management solutions. They have been designed to make sure quality and food safety are maintained throughout the maintenance process. They appear by default when you are creating a new maintenance programme. You can create your own checklists in the Categories module in Master Data and select them here.

  1. Select the checklist that will be presented at the Prework stage of the workflow and choose under the column Default the default response that should appear against the questions e.g. Yes. Choose Blank if you don't want a response to appear by default.
  2. Select the checklist that will be presented at the Verification stage of the workflow and choose under the column Default the default response that should appear against the questions e.g. Yes. Choose Blank if you don't want a response to appear by default.

4. Define Maintenance Tasks and Assign Cleaning Programme

  1. Define the maintenance tasks that are to be conducted.
  2. Select the responsible position for each task.
  3. If applicable, to make sure post-maintenance cleaning is done properly you can associate the maintenance record with an existing cleaning programme. The correct cleaning record will be generated automatically together with the maintenance record.

If an Employee is selected as responsible for a task in a Maintenance Program, and that Employee is associated with a User in the Settings, when a Maintenance Record is opened that User will see an action for each task they have been noted as responsible for on their My Actions Dashboard. These actions will disappear once the Maintenance Record Workflow Stage of the Maintenance Record has been saved and submitted.
