Add an Internal Audit Record

1. Enter Internal Audit Details

  1. The date of the audit.
  2. The start date and time of the audit.
  3. The finish date and time of the audit (you can update this field after you finish the record).
  4. By default, the auditor specified in the audit programme will appear here. However, if necessary, this can be changed.
  5. Select the Employees in attendance during the audit and specify whether they were in attendance during the Opening Meeting, the Audit itself or the Closing Meeting.
  6. Any documents that were selected in the audit programme will appear here. Simply click to view.

2. Complete Internal Audit Record

  1. Work down through each checklist row and choose the correct response.
  2. Add any relevant comments and notes especially in regards to any non-conformance.
  3. This option allows for splitting the audit checklist item into two. This can be common and a reason for this is wanting to create two separate non-conformance's both of which are based on the same audit checklist item.
  4. Add relevant audit evidence as attached files. You can take a picture with your tablet and attach it to the correct checklist item for later viewing.
  5. If a non-conformance arises you have the option of generating a corrective action. If you wish to generate a corrective action, simply tick the box. After you click 'Save & Submit' all non-conformance's will be collected together in the next stage of the record allowing you to process them further.
  6. Once you have completed the audit checklist you can add a short audit report.

3. Enter the Non-Conformance & Corrective Action Details

All the checklist items that were ticked with the "Corrective action" in the previous step will be collected in this one table. Complete details.

  1. Assign each non-conformance category indicating the severity of the non-conformance.
  2. Select the employee who is responsible for the investigation foo the corrective action.
  3. Assign each corrective action due date.

After you complete this stage, separate corrective action records will be automatically generated under the Corrective Action module and also linked to the top of the audit record.

4. Enter Audit Result

  1. The score your audit has received.
  2. The result. Whether or not it has passed, or failed.
  3. The overall rating of the audit.
  4. The number of non-conformances reported.
  5. Any closing remarks and future recommendations learned from the audit are to be included here.

4.1. Audit Rating / Scoring

  1. The Audit Score is automatically calculated based on the Rating you have selected to choose and the answers you have given.
  2. The Audit Result is automatically assigned based on the Rating you have used, but you can also manually select a different Audit Result.

4.2. Audit Summary Table

This table tells you the audit scores, results and ratings of each section of the audit.

This table tells you the number of the given types of answers in each section of the audit.

4.4. Final Report

Final Report

1. Write a short final report with any observations or insights gleaned that are relevant.

Tip: If you need to generate a corrective action, that is not related to the checklist items, you may do so through Actions > Add Related Record > Corrective Action. Only use this if the corrective action is not related to the non-conformances directly. The non-conformances that were recorded during the audit will automatically generate corrective action records.

The Non-Conformance & Corrective Action stage will show the corrective actions are awaiting investigation/root cause analysis. Clicking the link will take you directly to the correct record. As the status of the corrective action records update, so will the status displayed here.
